Keep one approved reference
Retain the production file, approval date, trimmed dimensions, paper specification, quantity, printed sides and finishing. Keep an approved physical proof where available. Separate different staff names, branches and versions in a quantity list.
Read the actual printed piece
Check names, spelling, phone numbers and addresses. Open written destinations and scan QR codes from the printed piece. Review both sides and the reading order after folding. For invoice forms, check agreed fields and numbering; design approval alone does not establish accounting or regulatory compliance.
Measure size and inspect finishing
Measure after trimming and check alignment, folds, binding and missing pages where applicable. Adobe explains that the Fit print option may scale a PDF to the paper. Check print scaling before treating a desktop proof as a size reference. Compare the agreed paper and finishing with the retained proof or specification.
Agree how color is approved
Use the approved physical reference where available and comparable lighting. Set the color reference and approval method before production. A phone photograph should not be the sole basis for deciding a color discrepancy. Record any missing specification instead of introducing one after production.
Check quantities and record exceptions
Match quantities and variants to the delivery. Inspect pieces from different packages according to the job; this simple review is not a statistical acceptance plan or assurance that every defect will be found. Record the item, version, location, photographs and affected quantity actually verified. Keep the sample for review against the agreed terms.
